Intake is fragmented by default

Referrals arrive by email. Agencies send zipped folders. The careers page feeds the ATS. Events produce a spreadsheet. Each channel has a different owner and none of them reconcile.

Fragmented intake produces two costs: duplicated effort on the same candidate, and silent loss of candidates who never enter the process at all.

One pool, many doors

Keep the doors — recruiters need them — but land everything in a single pool tied to the requisition. Pull from the ATS, watch a shared location, and accept bulk manual uploads for the channels that will never be automated.

Deduplicate before you assess

Match on contact details and document fingerprints so the same person submitted through three channels is assessed once. Repeat assessment is not just wasted work; it produces conflicting scores for one candidate, which is worse than none.

Parse for criteria, not keywords

Keyword matching rewards CV formatting. Extract the substance — the roles held, the scope, the evidence of the must-haves in the approved JD — and let the interview settle everything the document cannot prove.
